YOUR HAIR CLINIC Privacy Policy

Your Hair Clinic takes your privacy seriously and we are fully committed to ensuring that any personal data we collect is protected. To comply with the new General Data Protection Regulations (GDPR) this policy explains how we collect, use and protect any information that you give us

What kind of data we may collect, via our website, face to face, over the phone or by email

We may take all, or just part of the following data;

Full Name

Full Address

Post Code

Date of Birth

Phone Number

Email Address

Current medical history

Past medical history

A photo of you before the treatment and after the treatment.

What do we use this data for?

Some of this data will be collected at the time of the initial enquiry or booking a consultation, such as name, address, phone number and sometimes an email address (if you have contacted us by email or ask to send us photos by email to obtain a quote)

We will use this data to log the appointment and for any future necessary contact, for example rescheduling your appointment time.

If you start treatment with us we will collect the rest of the listed data via our paper forms that you will fill out. It is important for us to ask you specific questions about your past and present medical history due to the nature of the treatment, as certain conditions can affect the treatment plan or even make the treatment not possible.

We will only ever call you or email you regarding your treatment with us, which could include promotional offers if you have asked to receive these.

We only use your data for its intended purpose and do not share your data with third party companies, with the exception of a request by an agency acting on your behalf such as a solicitor or insurance company, or by a law enforcement agency.

Regarding sharing your before and after photos, this would only be if you consented to this on the consultation form. There will be options as to how your photos can be shared and you will have the choice to consent to each of the options, such as social media, our website, marketing material (flyers, posters, banners etc)

If you record a testimonial video with us, you will have the option to consent to this being shared through our website only or through our webiste and social media.

How long do we keep your data?

We keep patient medical and consent forms for a minimum of 7 years as advised. We believe this to be necessary as due to the fact that Scalp Micro-pigmentation is not a one off treatment, but is multiple sessions with top-up sessions possibly being years apart and ongoing.

We keep all financial records for a minimum of 7 years as required by HMRC.

How are my records stored?

We keep all records safe and stored securely to maintain client confidentiality. All paper records are stored in a locked cabinet on the premises, and all computer records are kept on a protected computer on the premises to ensure clients details are not accessible by the general public.

Changes to our Privacy Policy

We may make future changes to this policy so we encourage you to visit this page frequently.
